Job Description

The Payroll Administrator position captures all payroll input, ensure all changes are captured correctly and in line with policies and calls logged. Close payroll off on time with 100% correct data and handle all payroll enquiries from stakeholders in accordance with set turn-around times. Manage all paperwork received and ensure all change documents are safely filed for audit purposes.

  • 3+ years processing weekly payroll in South Africa
  • 2+ years’ experience working with VIP Sage 300 software
  • Process all payroll input for earnings, deductions, company contributions, fringe benefits exactly as per instruction document as and when required Monthly
  • Work closely with HR Shared Services, Employee benefits to ensure monthly changes are done correctly and each change is accompanied with instruction document
  • Ensure to follow workflow of payroll operations as per policies and standard operating procedures
  • Process terminations packs received from HR. Ensure that all documents are signed off as per Policy, SOP & Labour Legislation
  • Ensure all leave are approved on VIP Payroll system prior to termination to avoid losses
  • Process financial information from starter’s packs and ensure that all documents are completed accurately and signed of as required by SOX and other audit processes
  • Process employee transfers within the group and transfer of leave to new entity
  • Process all miscellaneous input for deductions external stakeholders such as garnishees and other
  • Extracting, controlling and distribution of variance reports weekly if applicable
  • Import overtime worked in all weekly payrolls
  • Electronic generation of payslips and distribution thereof, and ensure the release payslips on ESS
  • Manage payslip enquiries from all stakeholders: Shared Services, client and HR
  • Run payroll checks and balance the payroll before Manager checks the payroll
  • Ensure that payroll deadlines are met weekly/ monthly
  • Ensure all Africa rules are adhered to in processing the payroll and assist In Country HR with enquiries
  • Send weekly payroll cost reports to Shared Services/Stores
  • Maintain filing system as per standard operating procedures adopted
  • Generate Tax certificates upon enquiry from HR or employee from archived folder
  • Process increase bulk upload files and produce a checked file for sign off to manager

Upload electronic Overtime files, perform balancing with outcome from VIP and confirm with HR all files balances.
